Hotel Deposit and Cancellation policy
Expect an acknowledgement from onPeak to be e-mailed to you within five business days from receipt of your housing request. This acknowledgement will serve as confirmation of your hotel reservation. You will receive your hotel confirmation number from onPeak approximately two weeks prior to the conference.
Please provide a valid credit card to hold your reservation. Credit cards must expire after the event dates. Approximately fourteen (14) to twenty-one (21) days prior to the event, the Hotels, not HIMSS, Informa, or onPeak, will charge a deposit equal to one night’s room and tax. The deposit is also payable by check. Please make checks payable to onPeak. Reservations not guaranteed with a valid form of payment are subject to cancellation.
Should you need to make any changes to your form of payment, please do so prior to 4:00 US Central Time, Friday, January 31, 2025. As of 4:01 PM US Central Time, all reservations will be subject to the non-refundable one night room and tax deposit policy, and the method of payment on the reservation will be charged.
Deposit by Credit Card
Reservations must be guaranteed with a major credit card at the time of booking. The hotels will begin to charge the one night non-refundable deposit after Wednesday, February 5, 2025. Should you need to change your form of deposit, you must do so by Friday, January 31, 2025, 4PM US Central Time. Reservations may be canceled in their entirety until 4 PM US Central Time on Friday, January 31, 2025 without charge. Reservations canceled after this time will be charged one night’s room and tax.
Deposit by Check or Wire Transfer
After a reservation is booked, a company check or wire transfer (made payable to onPeak) may be submitted. Checks or wire transfers must be received by onPeak no later than Thursday, January 2, 2025. All bank fees are the responsibility of the sender, not onPeak. After Thursday, January 2, 2025, only credit cards will be accepted.

Reservations may be canceled in their entirety until 4:00 PM US Central Time on Friday, January 31, 2025. After this time, the one night room and tax deposit is non-refundable.
Changing Hotels
You may change from one hotel to another until Friday, January 31, 2025 at 4:00 PM US Central Time. After this time, changing from one hotel to another is considered a cancellation by the hotel you are moving from, and you may be charged a one night non-refundable deposit by both hotels.
